Sales Management Tutorial

The Sales Management module of Pharmacy POS BD helps you track, control, and analyze all sales activities in your pharmacy. From daily counter sales to detailed sales reports, this module ensures accuracy, transparency, and better business decisions.


1. Sales Module Overview

Sales management covers:

  • Medicine billing and invoicing
  • Sales history tracking
  • Invoice reprint and review
  • Discount control
  • Daily, monthly, and yearly sales analysis

Every completed bill is automatically saved in the system.


2. Creating a New Sale

  1. Go to Sales / Billing from the Dashboard.
  2. Add medicines using:
    • Barcode scanner, or
    • Manual search by medicine name
  3. Enter quantity for each medicine.
  4. Review the invoice total.
  5. Click Save / Print Invoice to complete the sale.

Once saved:

  • Stock is reduced automatically
  • Sale is recorded in sales history

3. Sales History

To view previous sales:

  1. Open Sales History from the Sales menu.
  2. You can search sales by:
    • Date
    • Invoice number
    • Customer name (if used)
    • User / cashier

This helps track all completed transactions.


4. Invoice Reprint

If a customer needs a copy:

  1. Go to Sales History.
  2. Select the invoice.
  3. Click Print to reprint the invoice.

Reprinting does not affect stock or reports.


5. Editing or Cancelling Sales

Depending on permission settings:

  • Admin users can:
    • Edit invoice items
    • Cancel a sale
  • Stock and reports update automatically after changes

⚠️ Editing sales should be done carefully to maintain data accuracy.


6. Discounts & Price Control

Sales management allows:

  • Item-wise discounts
  • Invoice-level discounts
  • Discount permission control for staff users

This prevents unauthorized price changes.


7. Sales by User (Cashier Tracking)

The system records:

  • Which user created the sale
  • Total sales per user

This is useful for:

  • Staff performance tracking
  • Shift-based sales review

8. Daily Sales Closing

At the end of the day:

  1. Open Daily Sales Report.
  2. Review total sales amount.
  3. Match with cash collection.
  4. Take a data backup.

This ensures accurate daily accounting.


9. Sales Reports

From the Reports section, you can generate:

  • Daily Sales Report
  • Monthly Sales Summary
  • Yearly Sales Report
  • User-wise Sales Report
  • Item-wise Sales Report

Reports can be viewed or printed as needed.


10. Best Practices for Sales Management

  • Always generate an invoice for every sale
  • Do not sell expired medicines
  • Limit staff permissions for discounts
  • Review sales reports regularly
  • Backup data daily
