Expiry Date Management Tutorial
Expiry Date Management is a critical feature of Pharmacy POS BD that helps you prevent selling expired medicines, reduce financial loss, and ensure patient safety. This tutorial explains how to track, monitor, and control medicine expiry dates effectively.
1. How Expiry Tracking Works
In Pharmacy POS BD, expiry is managed batch-wise.
Each medicine batch has its own expiry date, and the system tracks stock based on that information.
Expiry dates are recorded during:
- Purchase Entry
- Medicine List Setup
- Opening Stock Entry
2. Entering Expiry Date Correctly
When adding or purchasing a medicine:
- Enter the Batch Number.
- Select the Expiry Month & Year exactly as printed on the strip or box.
- Save the entry.
⚠️ Incorrect expiry entry can cause wrong alerts or allow expired sales.
3. View Near-Expiry Medicines
To check medicines that are close to expiry:
- Go to Stock / Inventory.
- Click on Near Expiry List.
You can see:
- Medicine name
- Batch number
- Expiry date
- Remaining stock quantity
This helps you plan discounts or fast sales before expiry.
4. View Expired Medicines
To see already expired items:
- Open Expired Medicine List from the Stock menu.
- Review all expired batches.
Expired medicines should:
- Not be sold
- Be returned to suppliers (if possible)
- Be disposed of according to regulations
5. Expiry Alerts
Pharmacy POS BD automatically provides expiry alerts:
- Alerts appear when a medicine is nearing expiry
- Helps you take early action
- Reduces wastage and loss
You can define how many days/months before expiry the alert should appear (if configurable).
6. Prevent Selling Expired Medicines
The system helps ensure safety by:
- Warning during billing if a batch is expired
- Restricting sale of expired stock (if enabled)
This protects your pharmacy from legal and health risks.
7. FIFO Method (First Expiry, First Out)
Pharmacy POS BD follows the FIFO principle:
- Medicines with earliest expiry are sold first
- Reduces chances of expiry loss
- Ensures better inventory rotation
8. Handling Expired Stock
For expired medicines:
- Open Expired Medicine List.
- Identify expired batches.
- Use Stock Adjustment to remove expired quantities.
- Keep records for audit and supplier claims.
9. Expiry Reports
From the Reports section, you can generate:
- Near Expiry Report
- Expired Stock Report
- Batch-wise Expiry Report
These reports are useful for:
- Monthly review
- Supplier negotiation
- Compliance checks
10. Best Practices for Expiry Management
- Always enter correct batch and expiry during purchase
- Check near-expiry list weekly
- Sell near-expiry medicines first
- Never mix batches with different expiry dates
- Take backup before expiry stock adjustment
