Inventory & Stock Management in Pharmacy POS BD helps you track medicine quantity, prevent stock shortages, and reduce losses from expired or overstocked items. This module ensures that every purchase and sale is automatically reflected in your stock.


1. Understanding Stock Flow

In Pharmacy POS BD, stock is updated automatically through:

  • Purchase Entry โ†’ Stock increases
  • Sales / Billing โ†’ Stock decreases
  • Returns / Adjustments (if enabled) โ†’ Stock updates accordingly

There is no need to manually calculate stock once the system is set up correctly.


2. View Current Stock

  1. Login to the software.
  2. Go to Stock / Inventory from the Dashboard.
  3. Open Stock List.

Here you can see:

  • Medicine name
  • Current stock quantity
  • Batch number
  • Expiry date
  • MRP

This gives a real-time view of your pharmacy inventory.


3. Stock Entry Through Purchase (Recommended)

The safest way to manage stock is through Purchase Entry.

  1. Go to Purchase โ†’ New Purchase.
  2. Select the supplier.
  3. Add medicines with:
    • Batch number
    • Expiry date
    • Purchase price
    • Quantity
  4. Save the purchase.

โœ” Batch & expiry will be tracked correctly


4. Opening Stock Setup

If you are starting with existing medicines:

  1. Open Medicine Management.
  2. Edit the medicine.
  3. Enter the Opening Stock Quantity.
  4. Save changes.

Tip: For better accuracy, entering stock through purchase is always preferred.


5. Low Stock Monitoring

Pharmacy POS BD helps you avoid running out of medicines.

  • Set minimum stock level for medicines
  • View Low Stock List from the Stock menu
  • Plan purchases before stock runs out

This is especially useful for fast-moving medicines.


6. Expiry-Based Stock Control

Stock is tracked batch-wise with expiry dates, allowing you to:

  • View Near Expiry Medicines
  • Identify Expired Medicines
  • Sell medicines using FIFO method (First Expiry First Sale)

This helps reduce losses and ensures patient safety.


7. Stock Adjustment (If Needed)

In case of:

  • Physical stock mismatch
  • Damage or breakage
  • Manual correction

You can use Stock Adjustment:

  1. Open Stock Adjustment option.
  2. Select the medicine and batch.
  3. Increase or decrease quantity.
  4. Save adjustment with reason.

Use this feature carefully to maintain accurate reports.


8. Stock Reports

From the Reports section, you can generate:

  • Current Stock Report
  • Low Stock Report
  • Expiry Report
  • Batch-wise Stock Report

These reports help with auditing and purchase planning.


9. Best Practices for Inventory Management

  • Always enter purchases on the same day
  • Check expiry reports weekly
  • Keep minimum stock levels for regular medicines
  • Avoid selling expired medicines
  • Take regular backups before stock audits
